Signs it is genuinely time to buy
- Manual processes are visibly breaking down as the organisation grows, with errors and delays increasing month on month
- You cannot answer basic board level questions about headcount, turnover or cost with confidence
- Compliance or reporting requirements are becoming difficult to meet reliably with current tools
- A significant growth event, such as a restructure, acquisition or rapid hiring phase, is on the horizon
- An existing contract renewal is approaching, giving a natural window to reassess rather than renew by default
Signs it might not be the right time yet
- There is no internal capacity to properly resource a project right now, and no plan to create it
- Requirements are still unclear, with different stakeholders wanting different, conflicting things
- The organisation is mid way through unrelated major change, such as a reorganisation, where attention is already stretched
- There is no budget clarity, and finance has not been part of early conversations
A simple decision framework
Rather than relying on gut feel, it helps to score your organisation honestly against three questions: is the current pain measurable and growing, is there genuine capacity to run a project properly in the next two quarters, and is there executive appetite to sponsor it properly. If the answer to all three is yes, it is likely the right time. If two or more are no, it is usually worth addressing those first.
Buying early with the wrong preparation almost always costs more, in time and money, than waiting a little longer and buying properly.
